Travel Stipend & Reimbursement Process

Travel Stipend Process for National Events e.g. Liberation Show, BLC, etc. (formally “Voucher”)

1. Prior to the event, fill out a Travel Stipend Application Form. Please be sure to look in Teams for deadlines & details. Pay close attention to what travel tier the event qualifies for.

2. Upon submission, expect to receive an approval or denial email within two weeks.

3. If you receive approval, you will be prompted to fill out a Travel Stipend & Reimbursement Form within 24 hours.

   • This form requires fully executed receipts. This means a completed purchase must have occurred.

   • You will not be allowed to provide screenshots of holds

   • Money cannot be sent prior. You must upfront the cost.

   • ONLY to be used for flight and/or hotels (seat selections, upgrades, insurance, etc. are not covered. Just the basic flight.)

4. Please keep a close eye on the email address provided on the application. Exceptions will not be made.

5. Funds will be received within 4-6 weeks from submission of the form submission

6. Accepting a travel stipend automatically enrolls you as a volunteer for necessary events. Leadership Team will schedule meetings and assignments in preparation. A mandatory Code of Conduct training will be held by BLA prior to the event.

Travel for Activism Day Events or other BLEXIT-related travel/expenses (such as UBERS, hotels, etc.)

1. Please fill out the Travel Stipend & Reimbursement Form

   • This form requires fully executed receipts. This means a completed purchase must have occurred.

   • You will not be allowed to provide screenshots of holds

   • Money cannot be sent prior. You must upfront the cost.

   • Seat selections, upgrades, insurance, etc. are not covered

   • Gas & Car related travel- You will need to roll this expense into your activism day grant request. You may submit mileage only. If you'd like mileage reimbursed, A Travel log must be submitted. A Sample one can be found here: Gas Log Template - Volunteer - Google Sheets. IRS mileage is .14 per mile. Continue with the procedure for activism day grant request.

2. Upon submission, expect to receive an email stating that your submission has been either accepted or declined, within 48 hours.

3. Funds will be received within 4-6 weeks from submission of the form

**In the event you are approved for a per diem, by upper leadership (Strategic Manager & above), only itemized will be accepted and processed**

Please use your Activism Day/Grant Request Form to request funds associated with your Activism Day. We understand last-minute expenses occur, after submitting your AD form. Only then, should this form be used (except for mileage).
